Privacy Policy
This policy explains how Club Console handles personal information. It is written for Australia and is intended to be consistent with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). It is not legal advice. If you have questions, email support@clubconsole.com.au.
Who we are
Club Console provides hosted sports club management software and this public website at https://www.clubconsole.com.au. Contact: support@clubconsole.com.au.
Two roles
We are the APP entity for information we collect ourselves: demo requests, support email, and our own operator and account administration.
Each club is the APP entity for member, player, volunteer, and other people records they enter into the product. We host and process that information as their service provider so the club can run its operations. If you want access to or correction of a record your club holds, start with your club. We will help the club when they ask us to.
What we collect on this website
If you request a demo, we collect your name, club name, club type, location, email address, any message you include, and (when the club is a sports club) the sport. We use SMTP2Go to send that enquiry to us and a confirmation to you. If you email us directly, we keep the correspondence needed to reply.
This marketing site does not use advertising cookies or third-party analytics. Essential hosting logs (for example IP address, user agent, and request time) may be recorded by our infrastructure providers to operate and secure the site.
What the product stores
When a club uses Club Console, they may store information needed to administer the club. Depending on how the club configures the product, that can include:
- Names, contact details, dates of birth, addresses, and photos
- Relationships, teams, groups, events, and involvement
- Notes, credentials, awards, evaluation, and conduct records where those modules are on
- Messages and emails the club sends through the product
- Files the club uploads, and operational logs used to run and secure the service
Clubs must have a lawful basis for collecting information about members, including young people, and should tell those people how the club uses Club Console.
How we use information
- To respond to demo and support requests
- To provide, secure, and support the hosted product for authorised club users
- To improve the product and diagnose faults
- To meet legal obligations
We do not sell personal information. We may follow up a demo request by email. We do not use club member records for our own marketing.
Sharing and overseas disclosure
We use service providers to host the product and deliver email. Hosting is on Amazon Web Services in Sydney (ap-southeast-2). Transactional email is sent with SMTP2Go, which may process information outside Australia. Authentication uses Amazon Cognito in the same AWS region as the environment. We take reasonable steps so those providers handle information consistently with this policy.
Security
We use encryption in transit, access control, secrets management, and optional authenticator MFA for administrators. No method of transmission or storage is completely secure. Clubs remain responsible for who they invite into their account and for the accuracy of the records they keep.
Access, correction, and complaints
For information we hold about a demo or support enquiry, email support@clubconsole.com.au. For club-held records, contact your club first. You can also complain to us, and if you are not satisfied, to the Office of the Australian Information Commissioner (oaic.gov.au).
Retention
Demo and support messages are kept as needed to respond and for a reasonable follow-up period. Product data is retained according to the club’s use of the service and our operational backup and log windows. When a club leaves the service, we handle remaining data in line with the agreement and any legal retention duties.

We may update this policy. The date at the top is the latest version. Material changes will be reflected on this page.
